Definitions

In this Privacy Policy, unless the context otherwise requires:

“Company” means careerpassport (Malta) limited, a limited liability company registered and existing under the laws of Malta bearing registration number C47130, having its registered office at Suite 6, Europa Centre, John Lopez Street, Floriana, FRN 1400;
“Website” means the website www.careerpassport.eu or www.careerpassport.co.uk;
“Client” means any company, agency, partnership, business entity or organisation that either registers electronically, or that is signing these Terms of Business, to make use of the Platform;
“User” means any visitor, registered or not, visiting or viewing the careerpassport Website or viewing and accessing information maintained within the Careerpassport system;
“Profile” means the parts of the Platform which contain the details of the Candidate. The Candidate is also the Profile owner. This consists of the data that is inserted by the Candidate;
“Candidate” means any registered job seeker, over 16 years of age, owning or maintaining a Careerpassport Profile;
“Connected Company” means the careerpassport Clients which can view, or hold, the Profile information of the Profile they are connected to. The Candidate can add a careerpassport Client to his list of Connected Companies by applying or registering with the Client. The Candidate may also, at any time, remove a Connected Company from his Profile;

Introduction

Careerpassport is a licensee of the Trust Guard Privacy Program. This privacy policy covers www.careerpassport.eu and all its subdomains. Trust Guard is an independent, non-profit organization whose mission is to build users' trust and confidence in the internet by promoting the use of fair information practices. By displaying the Trust Guard logo, we have agreed to notify you of:

What personally identifiable information is collected through our website;

The organisation collecting the information;

How the information is used;

With and when the information is shared;

What choices are available to you regarding collection, use and distribution of the information;

The security procedures that are in place to protect the loss, misuse or alteration of information under Careerpassport's control;

How you can correct any inaccuracies in the information.

If you feel that the Company is not abiding by its privacy policy, please contact the Administrator via email at care@careerpassport.eu. If you do not receive acknowledgment of your inquiry or your inquiry has not been satisfactorily addressed, you should then contact Trust Guard Watchdog. Trust Guard will then serve as a liaison to resolve your concerns.

Careerpassport is an online recruitment management system that works as an intermediary between employers and candidates.

Information Collection & Use

Careerpassport is the sole owner of the information collected on its platform. We will not sell, share, or rent this information to others in ways different from what is disclosed in this statement. Careerpassport collects information from our users at several different points on our website in accordance to this privacy statement.

Candidate Profile Registration

In order to use the functionality of this website and create a Profile, a user must first complete the registration form.

Users have the option to provide further information (such as working experiences and qualifications) to us and we encourage users to submit this information so we can provide a more personalized experience on our site. If candidates want to change their information the candidates have access to do this using the Careerpassport system at any time.

Candidates should never submit credit card or social security details to any individuals or in response to any correspondence claiming to be originating from Careerpassport.eu. Careerpassport is a free service for candidates. Candidates, Job Seekers or Profile Holders should contact care@careerpassport.eu should they be asked to submit such information.

Client Registration

Information that is collected from subscribing employers or agencies will be used to contact the organisation about the services for which they have expressed interest and to confirm the registration. If employers want to change their information the company administrator has access to do this using the Careerpassport system administration functionality.

Clients should only submit credit card details upon registering for one or more of the services offered by the Company. Clients are requested not to submit credit card details to individuals over the telephone claiming to be originating from the Company

Job Alerts Subscriptions (Yes/No)

This information is used to contact the user about the services or vacancies on our site for which he has expressed interest or for important news and updates. This information will not be used for promotional or advertising purposes. The Candidate will be able to change or update this information any time by accessing and signing in using his Profile.

Candidates Profile

Candidates’ profiles allow candidates to submit various items of information about themselves to Connected Companies for the purpose of finding employment.

If we have trouble processing a request, the contact information is used to get in touch with the user.

Cookies

A cookie is a piece of data stored on the user's hard drive containing information about the user. For instance, by setting a cookie on our site, the user would not have to log in a password more than once. Usage of a cookie is in no way linked to any personally identifiable information while on our site. Once the user closes their browser, the cookie terminates.

We use a third-party tracking service of Google Analytics that uses cookies to track non-personally identifiable information about visitors to our site in the aggregate for usage and volume statistics to report on site traffic statistics. Google Analytics is used only for the collection of anonymous web site traffic statistics.

This privacy statement covers the use of cookies by this site only and does not cover the use of cookies by any advertisers or employers using the Careerpassport site within “framed format”.

Information Sharing

We sometimes share aggregated demographic information with our partners and advertisers. This is not linked to personally identifiable information.

We will not voluntarily disclose any information about individual users to third parties, except as described in this privacy policy, or to comply with applicable laws or valid legal process, or to protect the rights or property of Careerpassport and its partner sites.

Careerpassport maintains relationships with outside service providers for some of the services offered through our site, for example PAYMENT GATEWAY provider and ADVERTISERS. We will only share the company and agency information that is necessary for the third party to provide their services and this information can be used by the providers for the sole purpose of delivering these services to Careerpassport.

Careerpassport may be presented in a "framed" format, where the Careerpassport pages may be surrounded by companies’ and agencies’ pages. Careerpassport is served by the company and agency, and the frames pages have the look and feel of Careerpassport. In these cases, the company or agency is prominently identified and the Careerpassport frame is also clearly identified. Please be aware that any information you provide outside these framed pages is provided directly to the company or agency and is subject to their security and privacy policies. Careerpassport is not responsible for any information you supply to companies or agencies outside the Careerpassport frame. We encourage you to read the privacy policies of these outside service providers because their privacy practices may differ from ours.

Candidate Profile and CV Sharing

Careerpassport allows you, as a candidate, to have full control over the visibility and searchablity of your profile and CV. Your profile and CV will only be visible to your own Connected Companies listed in your Connections tab in your Profile. Companies and Agencies are only added to your Connected Companies list by one of the following actions:

When you register to Careerpassport through a company’s or agency’s website. The company or agency will be added to your list of Connected Companies.

When you apply for a position or submit an open application with the company. The company, its parent company and its subsidiaries, if any, will be added to your list of Connected Companies.

When you apply for a position or submit an open application with an agency. The agency will be added to your list of Connected Companies.

When an agency forwards your CV to their Clients, the agency should always request your approval and should never share your CV without prior notice. You should never allow an agency to share your CV with its client without your own specific approval. Although Careerpassport is not liable should a Connected Company share your CV without your approval, we request you to report such incidents to care@careerpassport.eu and Careerpassport will investigate the matter. Clients using Careerpassport are bound with their Terms of Business to comply with this restriction.

You may remove your CV and Profile from the database of any of your Connected Companies anytime through the Connections tab by removing the Company or Recruitment Agency from your Connected Companies list.

This website contains links to other sites. Please be aware that Careerpassport is not responsible for the privacy practices of such other sites. This privacy policy applies solely to information collected on pages of this site and to the data transfer between careerpassport website and Client website.

Communications

We send all new members a welcoming email to verify their email and password. Users also have the choice to subscribe to our alerts. A user can unsubscribe from the alerts at any time from both our site and the alerts themselves.

You are entitled, at any stage, to opt out of this service, by clicking on the "opt out" option on the alerts correspondence. This will redirect you to the Job Alerts Tab where you will be able to unsubscribe from alerts.

From time to time we may send out critical service announcements. Users are not able to unsubscribe from critical service announcements, which contain important information about the service. These will not include advertising material.

Security

The security of your personal information is important to us. This website takes every precaution to protect our users' information online. When asked to enter personal and sensitive information (such as email address) on our registration forms, it is encrypted and is protected with secure sockets layer (SSL).

We follow generally accepted industry standards to protect the personal information submitted to us, both during transmission and once we receive it, however, no method of transmission over the Internet, or method of electronic storage, is 100% secure. Therefore, while we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security.

Correcting/Updating Personal Information

We also do everything in our power to protect user information offline. Access to all of our users' information is restricted in our offices. Only employees who need the information to perform a specific job are granted access to personally identifiable information. Furthermore, all employees are kept up-to-date on our security and privacy practices. Finally, the servers on which we store personally identifiable information are kept in a high security data centre, fully owned by our suppliers. If a user's personally identifiable information changes, or if a user no longer desires our service, we provide a way to correct, update or remove that user's personal details provided to us. This can be done from the user's profile tabs or by emailing our Administrator at info@careerpassport.eu.

Choice/Opt Out

Users who no longer wish to allow their profile and CV to be searchable by Connected Employers and/or Copnnected Agencies may opt out of this website by going to their Personal Details tab, and select to deactivate the profile. Candidates who no longer wish to receive our alerts may opt out of receiving it by going to their Job Alerts Tab and un-tick the alerts option.

This option is intended to remove the profile from the Careerpassport, however, to block particular employers and agency, you can disassociate yourself from one company or agency at any time through your Connections Tab found within your profile. By disassociating yourself from a Company or Agency, your profile and CV will no longer be visible or searchable by the same Company or Agency. You may also reverse these actions any time through the same profile tabs.

Surveys and Contests

We may provide you the opportunity to participate in contests or surveys on our site. If you participate, we will request certain personally identifiable information from you. Participation in these surveys or contests is completely voluntary and you therefore have a choice whether or not to disclose this information.

We may use a third party service provider to conduct these surveys or contests; that company is prohibited from using our users’ personally identifiable information for any other purpose. We will not share the personally identifiable information you provide through a contest or survey with other third parties unless we give you prior notice and choice.

Notification of Changes

If we decide to change our privacy policy, we will post a notice on your user home screen, and other places we deem appropriate so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it.

We reserve the right to modify this privacy statement at any time, so please review it frequently. If we make material changes to this policy, we will notify you here, by email, or by means of a notice on our homepage.

Legal Disclaimer

We reserve the right to disclose your personally identifiable information as required by law and when we believe that disclosure is necessary to protect our rights and/or to comply with a judicial proceeding, court order, or legal process served on our Web site.

Business Transactions

In the event Careerpassport goes through a business transition, such as a merger, acquisition by another company, or sale of all or a portion of its assets, your personally identifiable information will likely be among the assets transferred. You will be notified via email of any such change in ownership or control of your personal information.
